Curated toolset

Tools that hold the day.

Surfaces staff, GM, and owner actually open when the house is running — each with a clear what, when you’d open it, and benefit, plus an honest LIVE or SHELF label. No vapor dressed as shipping.

This is not a feature dump. These are the day-running tools: from Birth through the guest routing pipe into the Action Queue, plus the trust surfaces that keep culture, schedule, and data honest. Connect stays clearly marked as shelf. HotelBrain is your boutique’s operating brain — not another PMS, not a POS, not a channel manager.

Live
Home

What: Home is the morning field for the boutique — arrivals, rooms Clean / Not yet, queue density, and what’s due today. One place to open the house instead of stitching sheets and scattered status.

When you’d open it: start of shift, mid-morning density check, or an owner glance without another dashboard ritual.

Benefit: Staff, GM, and owner share the same view of the day — one field, not three parallel stories.

Live
Action Queue

What: The running list of what needs doing — open, assigned, in progress, closed. Guest asks and house work become visible jobs so the floor isn’t guessing who owns what.

When you’d open it: asks are landing, handoffs change, or you need a single board of open work before lunch rush.

Benefit: Nothing important disappears into a private chat. Paired with Needs-a-human for anything that shouldn’t auto-close.

Live
Needs-a-human

What: Flags escalations that require judgment — late checkout exceptions, sensitive guest situations, anything the house shouldn’t resolve with a silent auto-close.

When you’d open it: something feels off-script, a guest is upset, or the SOP says a person must decide.

Benefit: Exceptions stay visible to GM and floor until a human resolves them — judgment doesn’t hide in a thread.

Live
Guest messaging

What: The guest lane. Guest texts house WhatsApp → our team (that house only) → shared HotelBrain → named seat from who’s on → Done / Not-done → our team closes guest. Complaint → GM · clean → Housekeeping · room service → Room service. Empty seat → Hold. Staff never own the guest thread.

When you’d open it: checking open asks, confirming a close, or walking how routing works for your house.

Benefit: Asks land on a named seat and close cleanly — without dumping empty lanes on the GM, and without staff inheriting guest chat. A WhatsApp number can be stored as the door; a live messaging pipe is not claimed as shipping product.

Live
Birth

What: The wizard from empty wall to named Home. Name, logo, colors — the house gets its own face and a morning field ready for the day.

When you’d open it: a new house joins, branding changes, or you want to show how fast a boutique can stand up.

Benefit: Awake in minutes — live product path, not a multi-week “go-live project” slide.

Live
Rooms

What: Clean / Not yet for the house — housekeeping status without a separate spreadsheet.

When you’d open it: arrivals are stacking, housekeeping is mid-turn, or front desk needs an honest readiness read.

Benefit: Status sits in the same brain as Home and the Action Queue, so arrivals and asks aren’t flying blind on room readiness.

Live
Schedule

What: Who’s on — the truth HotelBrain uses when it pings a named seat.

When you’d open it: shifts change, someone calls out, or you need to confirm who will get the next ping.

Benefit: Without Schedule, routing guesses. With it, complaint → GM, clean → Housekeeping, room service → Room service lands on the person actually working that lane. Empty → Hold.

See Hold rule →
Live
People

What: Roles and who’s on the house roster — GM, housekeeping, room service, front, maintenance, restaurant. Seats are jobs under the Brain; People is who can fill them.

When you’d open it: hiring, role changes, or onboarding someone onto the day brain.

Benefit: Permissions so GM, owner, and floor see the right slice — without publishing a crew org chart on the public site.

Seats once →
Live
Culture

What: How this house works — tone, guest voice, house rules our team and staff share.

When you’d open it: voice or house rules change, or you want owner intent visible to the floor.

Benefit: Not a handbook PDF lost in a drive — a living note the brain can respect when asks land.

Why it matters →
Live
Board

What: Shared ops surface for notes and house attention — what the floor should see without burying it in a private chat.

When you’d open it: event night, VIP arrival, maintenance window — anything that needs a pinned signal beside the queue.

Benefit: Complements Home and the Action Queue when the day needs a house-wide note everyone can see.

See in How →
Live
Ask

What: How the house queries the brain — “what’s open on Villa 2?” — and gets an answer from what’s actually stored.

When you’d open it: a fast read without hunting tabs, or you’re testing what the house has taught the brain.

Benefit: When Ask doesn’t know: “Not in the brain yet.” Honest gaps beat invented certainty.

See Ask & tell →
Live
Data trust

What: The house’s confidence layer — what’s stored, what’s house-only, and what’s behind the tenant wall.

When you’d open it: owner or GM asks “where does this live?” or you’re reviewing what our team may use.

Benefit: Isolation is a platform guarantee: one boutique’s guest book never leaks into another’s.

Isolation →

Doors · Shelf until wired

Shelf
Connect shelf

What: Doors for own site, Booking.com, and SevenRooms. Numbers and endpoints can be stored so the house is ready when wiring lands.

When you’d open it: planning future wiring, or a walkthrough asks what sits beside your booking world — without pretending pipes already flow.

Benefit: Honest readiness. Connect is doors and shelf — we do not claim live sync, OTA backfill, or “syncs today.”

Live vs Shelf →
Live
Out

What: System chrome around the day brain — Plugins shelf, Ask, Data trust, Board, People, Schedule, Culture.

When you’d open it: configuring the house, not answering a guest ask in the moment.

Benefit: Roles, pinned culture, schedule, and trust stay reachable without pretending Connect pipes are already flowing.
