HotelBrain

The brain for your hotel.

It reads. It remembers. It makes sure.

A hotel runs on what its people know.

The brain keeps a tight book on every guest — what they like, what they don't.

So the house knows them, every time. Guests come back. Retention goes up.

Today that knowledge lives in heads, in WhatsApp threads, in a spreadsheet someone built in 2019 — and across tools that don't talk to each other.

When someone leaves, the house forgets.

HotelBrain is the brain on top of the hotel you already run.

It can connect to the systems you have (doors stay on the shelf until wired), listens to what your team tells it, and keeps one living memory of the house — guests, people, rooms, money, rituals, lessons.

Not a PMS. Your PMS stays. Not another dashboard to check. Not a generic chatbot. Each hotel gets its own assistant, trained for that house.

One brain for the whole house

Reads everything below. Remembers it. Makes sure everything that needs doing has a name, a time and a Done — above.

Your systems — kept, not replaced

Your house. Your data. Your brain.

At onboarding, the app generates itself for your hotel — your name, your logo, your colours, your voice. It is not a generic app with a logo swapped in.

Your guests, your numbers, your people live in your brain only. There is no master view, no pooled data, no big app where every hotel sits together. We don't access your house data by default. If you need support, you invite us in with a timed pass — and that pass has an end time.

HotelBrain, the company

We see that your house is live, that billing is paid, and which plugins are connected — not guests, payroll or P&L. Support opens a door only when you invite us, on a timer.

What it does, in three verbs.

It reads.

Bookings, the till, messages, reviews, the roster — and the one line your GM types at the end of the day.

It remembers.

On the house, not in a head. A third-stay guest is greeted as a third-stay guest by a receptionist who started last week.

It makes sure.

Everything that needs doing gets a name, a time and a Done — a room, a request, a moment for a guest. It follows each one until a person closes it.

Every hotel gets its own number. And a new member of its team.

Guest texts house WhatsApp → our team (that house only) → HotelBrain → staff ping by lane from who's on. Behind the number: a member of your guest team — you choose the name, the language, the voice. They can ask anything, before arrival or from the room.

Trained for your house only — our team for that house. SOPs set how to speak, and where every message goes by lane (complaint→GM, clean→HK, room service→RS). It answers properly — then hands off to whoever is on that lane, on shift, now. If no one is on that lane, the ask holds; it does not default to the GM.
“Could we have firm pillows?”→ HK · clean lane
“Dinner last night was disappointing.”→ GM · complaint
“Room service — more water?”→ RS · room service
Every ask is noted on the guest. The house never asks twice.

Hi! We arrive Thursday around 4. Could we have firm pillows in the room? My husband can't sleep on soft ones.
Of course — firm pillows will be in Ginepro before you arrive on Thursday, and we've noted it for every stay. Would you like a firm pair on both sides, or one soft for you?
→ Housekeeping · Thursday, before 14:00 · Luca (on shift)
Noted on the guest: firm pillows, Mr Lefèvre.
One soft for me please. Thank you!
Done — one firm, one soft. See you Thursday. — Léa

Your staff have it too. In their pocket.

Their schedule. The rooms to turn. And when a guest asks for something now, the brain knows who is on shift — from the schedule — and sends it to them.

One layer on top of the cleaning already planned: the request of the moment, to the person already on that lane. If no one is on, the ask holds — it does not default to the GM. They mark Done or Not-done. Our team closes the guest. The GM sees it at the same second — on site or not. Nothing is done until someone says it is.

Ask HotelBrain

Anyone in the house, from the owner to the night desk. It answers only from the data it has been fed — and says so when it hasn't.

✦ Ask

No dashboards to learn. No report to request. Just ask the house.

Bug / Idea — from any page

Every screen carries the same small button. What's broken? What's the idea? The people who run the house shape the brain that runs with them.

BugIdea
Let housekeeping mark a room “inspect” by scanning the door — we're already standing there.
This goes to us.Idea logged.

And when something goes wrong once, the house learns — solve once, fix everywhere.

And what it will not do.

Act on its own

It doesn't send the message or carry the tray. It puts a name and a time on it, and follows it to Done. The brain makes sure. Your people do.

Invent a number

If the till isn't connected, revenue reads “Not in the brain yet.” It shows what it knows and says plainly when it doesn't.

Replace your people

It takes the remembering and the drafting. It gives back the hour on the floor, the walk to the room, the sprig of myrtle. AI augments. Humans decide.

Look at your data

Each hotel's brain is its own. We don't have access unless you invite us in — and that pass has an end time.

Hospitality is a human act. The brain exists to protect the time for it.

One day, with the brain.

A fourteen-key house. Nothing here happens without a person.

07:00

THE OWNER

Reads one paragraph, not nine dashboards. The brain names the one thing that isn't calm — and who can fix it, by when.

07:30

THE GM

The day assembles itself: rituals due, arrivals and their needs, everything open — each with a name on it. She reassigns one, adds one.

11:00

HOUSEKEEPING

Luca sees three rooms to turn and one thing to know: Salvia, no feather anywhere. He marks Ginepro done from his phone.

18:30

THE GUEST

Prosecco and myrtle arrive on the terrace, carried by Sofia — because the brain made sure it was hers, at 18:30.

22:00

THE HOUSE

The GM types one line to close the day. It's in tomorrow's brief. The house remembers.

What it changes, in money and hours.

An illustration on a fourteen-key house. The levers are real; your numbers will differ — we do not invent a price.

Guests who come back

The surest one. The house remembers what every guest likes and doesn't — so the person in front of her does too, on the third stay, even if they started last week. Remembered guests return, and they book direct.

Nothing falls through

Every room to clean has a name and a time. Every guest request has an owner and a Done. Staff close the loop from their phone; the owner sees what's still open at 07:00. Unanswered three days, it becomes an alarm.

A board that reads the live house

Decisions, money, guest, people, risk, capex, asks — from what the brain has tracked all quarter, not a deck built the night before. The sitting is about deciding, not catching up.

Pack: two GM days a quarter → none
Sitting: four hours → one

8 days + 12 ha year, back

And one thing without a price on it: the house keeps what it knows when a person leaves.

Built around the guest, not around the software.

Nine modules, one causal flow: culture shapes people, people carry strategy into execution and operations, rituals make it repeatable, performance shows what happened, intelligence learns from it — and it all points at the guest.

A framework from a lifetime in hospitality, given a memory.

Your people own a piece of what they grow.
